Clear instructions.
Work that moves forward.
We turn scattered or incomplete information into usable guides, repeated manual steps into practical tools, and uncertain handoffs into a clear next step. These are examples of what we can build; the work is shaped around what your team actually needs.
Documentation
Clearer documentation
A good guide gives someone the confidence to get on with the task. It explains what to do, where to find things and when to ask for help.
Well Defined can bring scattered information together, refresh outdated instructions or build documentation from conversations with your team. You don’t need to tidy everything before we start.
Examples of what we can build
- Guides people can follow. Step-by-step instructions and standard operating procedures (SOPs) covering the usual task, key decisions and what to do when something is missing.
- Checks at the right moment. Practical checklists and onboarding resources that help people prepare, learn and avoid missed steps.
- One clear place to start. Organised guidance and reusable templates, with current versions and document owners made clear.
Practical tools
Less repetitive work
Nobody enjoys entering the same details twice. Or fixing the same report every Friday before anyone can use it.
We can build tools that take care of repeatable steps while keeping the important checks visible. These can support documentation or be a project of their own. We’ll establish what works in your existing setup before agreeing the scope.
Examples of what we can build
- Spreadsheets that do more of the preparation. Paste in a report and use repeatable checks to spot missing fields, tidy names or arrange the information you need. Excel formulas and VBA can handle suitable repeated steps.
- Collect once, use where it’s needed. Intake forms and workbooks that turn supplied details into personalised letters, forms or reusable messages, ready for review.
- A report you can use again. Reusable reporting and dashboards built around the tools you already use. We agree the figures, refresh steps and any available scheduling or automation instead of rebuilding the same view each time.
Between people and teams
Smoother handovers
Work moves between people and teams every day. When the next person does not receive the information, files or context they need, the work slows down while they search, check or chase.
We make those everyday handovers easier: what should travel with the work, who checks it and what happens next. The same foundations also make a real difference when someone is away, a new colleague joins, somebody changes role or leaves the team.
Examples of what we can build
- A handoff with the essentials included. An agreed checklist and a shared record or link to the current brief, files, owner and next action.
- Messages you don’t have to write from scratch. Ready-to-adapt messages for missing details, approvals, next steps and rollout announcements. Suitable information-transfer steps can be explored for automation.
- A team ready to use the changes. Owner walkthroughs, training plans and resources your internal trainers can deliver, with a handover format that suits your team.
Scope & pricing
The right scope for your business.
A clear price before we start.
From one useful improvement to a wider review of your documentation and workflows, we shape the work around what you need. Larger projects can be organised into agreed stages, so priorities stay clear.
We agree the deliverables, price, responsibilities and how we’ll check the result before paid work begins. If we need to investigate first, we can agree a capped review of a defined sample, with written findings and a recommended next step.
Depending on the work, we can agree a fixed project price or an hourly arrangement with an agreed limit. Further changes and ongoing support are welcome, and we agree any additional work before going ahead.
